Dual Credit Students:
Reminder: Your parents do not have the right to access your college information unless you fill out a consent to release form for that specific academic year. This form gives your parents the permission to access your information regarding academics, tuition & fee balances, attendance, etc. Parents cannot call your college professors and ask about your grade, or call SWTJC to ask about your balance without completing this form. This form must be signed by you, and must include the names of any person that you give permission to seek your records. This form must also be signed by an SWTJC representative. Because of COVID restrictions, you may complete this form, return it to me via email, and I will forward it to SWTJC for a signature and for their records. The email below will explain the payment "deadline" and how to access your info through SWTJC WebAdvisor, please review this information carefully. Let me first apologize for any confusion I may have caused with the email I sent last week regarding payment and the drop deadline. As you know, I share information with you at the time I receive it. Unfortunately, sometimes that information changes, and I do my best to keep you informed with new information as I receive it from SWTJC. At the time I sent the first email, the only information given to me was Census Day drop. As of this morning, they are telling me that although you still have only until tomorrow to drop any classes, the SWTJC business office has not made adjustments to your tuition and will not make adjustments to your bill until AFTER census day. So my next question for them was, So what day should I tell my students to pay? What is the due date? Unfortunately for all of us, they could not give me a clear answer to this question. It really annoys me to not be able to give you all a direct and clear deadline however, there's not much else we can do but wait for them to work on their end. They said that they work on adjusting student accounts as they receive them from their Outreach department. Being that I don't work at SWTJC Outreach or Business department, this matter is out of my control, so I can't tell you when exactly they will adjust your account or by how much. Since I don't work at the SWTJC business office so I'm not in charge of their process I can't give you a specific deadline to pay your classes, but here's what I recommend you take into consideration:
- I recommend you pay at least in part by the end of the week (Friday or Saturday, Sept 11/12), even if it's just $100. This will ensure that the SWTJC business office views at least some activity on your account so they won't drop you from any classes.
- Keep in mind that your account is not adjusted yet. I can't tell you when they will adjust your accounts, or if what your account shows is correct because I don't have access to that info.
- Keep in mind that you may also overpay or under pay. If you decide to pay for all or part of your tuition, keep in mind that this balance may change and result in you either overpaying or underpaying. If you underpay, your new balance will appear on your account and you can always call SWTJC with any questions. If you overpay, you will receive a refund mid-semester.
Again, I apologize for the confusion and that they cannot provide me with a deadline that I can pass along to you all. Using a student's account information, I was able to figure out how to check a balance and pay in several ways. I will list those steps below for your convenience. How to pay your balance quickly (This option is best for those who want to pay a minimum amount of their choosing to prevent possibly being dropped. This option also best suits those who know that their balance has already been adjusted and just want to pay quickly)
- Go to the SWTJC Homepage at www.swtjc.edu
- Select the "Login tab" at the top and select "Web Advisor"
- Login with your username (do NOT include "@swtjc.edu" as you would in Canvas). Password is the same as Canvas
- Select the "Students" section in Navy blue
- On the left-hand side, under "Financial info" select, "Pay on my account"
- Your balance (could be adjusted or not) will appear. You can pay whatever amount with a debit/credit card. *Make sure to either print or take a picture of the confirmation page for your record***
How to pay your balance by payment plan or scheduled full payment (This option is best for those who want to split their payment or pay in full on a scheduled date)
- Go to the SWTJC Homepage at www.swtjc.edu
- Select the "Login tab" at the top and select "Web Advisor"
- Login with your username (do NOT include "@swtjc.edu" as you would in Canvas). Password is the same as Canvas
- Select the "Students" section in Navy blue
- On the left hand side "Financial info" select "Tuition payment plan"
- This will take you to a seperate website under Nelnet. Here you will be able to view your current balance and set-up a payment plan after creating your account
- You can also set up remind texts and emails
How to view your detailed student balance statement (This gives you a detailed look on the classes you are being charged for, tuition & fee amounts. Keep in mind that these may or may not be adjusted depending on how early you are accessing the information)
- Go to the SWTJC Homepage at www.swtjc.edu
- Select the "Login tab" at the top and select "Web Advisor"
- Login with your username (do NOT include "@swtjc.edu" as you would in Canvas). Password is the same as Canvas
- Select the "Students" section in Navy blue
- On the Right-hand side under "Registration" select, "Student planning"
- On the far left side, select the building icon that is titled "Financial information", then "Student Finance"
- From the drop down menu, select "Account Summary", then select the current semester "Fall 2020"
- You will now see Icons for Fall 2020 semester depicting your Tuition and balance. On the far right hand-side select the link that says "View Statement".
- A detailed PDF statement will automatically populate in a separate window. Make sure to print or save this statement for your records.

Happy Friday Dual Credit Students, I want to remind you that it is VERY important for you to be checking into the google classroom with Ms. Romero and completing the attendance form. This form is very short and doesn't take long at all. This is how she is keeping track of your attendance for online classes that are not with our own instructors. Therefore, if you don't complete this on a daily basis, you will be counted absent. I will emphasize: It is not enough for you to simply be logging into canvas on a daily basis. For high school attendance, you must ALSO complete the google-check in form that Ms. Romero has created for you. Google classrooms will also be used to post important announcements, so again, it is something that you should be checking daily. Here are the class codes for each period. Hello Dual Credit students,
Is it just me or does this Tuesday feel very Monday-ish?? I wanted to tell you that I spoke with the SWTJC business office and they HAVE NOT made adjustments to your tuition and fee balances. Allow me to explain to you how the process works this way you'll know and you can inform your parents: Every semester, I fill out a document called a "Payment Agreement" that tells SWTJC which classes Carrizo Springs HS will be sponsoring and which classes will be billed directly to the student. Once this paperwork is received by the SWTJC Outreach department, they hold onto this document until AFTER Census Day (September 9th). This allows students up until census day (Sept 9th) to drop any classes without being charged for them. After the census day, SWTJC Outreach department sends this Payment Agreement document to the SWTJC Business department, and the business department makes any necessary adjustments to your student tuition account. This is why your balance may appear higher than expected. As a reminder, only the following classes will be sponsored by CSHS. Meaning, you should not be charged for the following classes: SPCH 1311 EDUC 1300 ENGL 1301 ENGL 2327 HIST 1301 PHED 1301 MUSI 1306 All WLDG & CNA classes
Any other classes will need to be paid for directly to SWTJC.
That being said, I know some of you have already paid a portion of your tuition and fees. Not to worry! Here are the possible scenarios you may be in, all which I can assure you are not the end of the world.
- What if I already paid all or part of my tuition? After SWTJC makes any necessary adjustments, they will refund you any portions of your bill that might be due to you because of overpayment or early payment. They'll send you a check in the mail
- What if I haven't paid anything by September 9th? You're still in good shape! Just check your balance and keep an eye out for any changes. After September 10th, call the SWTJC business office and make payment arrangements or pay online through your self-service portal account.
- I haven't logged into my web advisor account to see my balance because I don't know how. Contact me via phone or email, if I don't answer please leave me a voicemail with your name and number. I'll help you get things squared away!
Please keep in mind that neither myself, or any of the Counselors have access to your personal SWTJC accounts. We don't keep track of your log info, so there's no way of us knowing your balance, what exactly you're being charged for. For answers to these questions, it is always best to contact the SWTJC business office. I can give you my best guess if you send me your login info however, the most accurate answer will be directly from them. Remember they are not obligated to give any information to your parents regarding your account. You are considered a college student and you are protected by FERPA federal laws that protect student privacy. If you call, make sure that you have your SWTJC ID number on hand, they will ask for this or your date of birth to verify your identity. IF APPLICABLE, PLEASE PAY FOR YOUR CLASSES ONLINE OR CALL THE SWTJC BUSINESS OFFICE TO MAKE PAYMENT PLAN ARRANGEMENTS BEFORE THIS DAY. This is something that must be taken care of with the SWTJC business office, students will not be paying anything to the high school and will not know your balance. We have had many questions regarding dual credit, hopefully this email answers some of your questions.
For those of you currently in dual credit and wanting to verify your classes for the Fall semester:
**Please see the attached document to view dual credit deadlines for the Fall 2020 semester.**
Very soon, all dual credit students will be receiving a google form in which you are to select and verify your dual credit classes for the semester. Upon receiving this information, the counselor's will review which classes you have selected. If there are any conflicts, the student will be contacted. Please ensure that when classes are selected, you do so carefully as you will not be allowed to switch unless you have counselor's approval. Again, we will contact you IF there are any conflicts that need to be addressed. If you are not contacted, this means they are good to go.
Now, if you are seeking an AA degree and are wondering about your progress, I have attached the degree plan that we typically use to map out which courses you have and have not taken. Please use this form to keep track of your progress. You may access a full list of the classes you have taken with SWTJC by logging into your SWTJC Web Advisor and selecting "student planning" link. If you have issues with this, please contact me and I'll be happy to help. Please DO NOT register concurrently yourself or pay for any classes without first advising with myself and your high school counselor. If you are entering your senior year and would like a full review of your college transcript by a college advisor, I highly recommend that you contact the SWTJC advisor assigned to our campus. Classes will be held remotely and at the times designated by your college professor. You will be updated as we receive more information from SWTJC.
For those of you who will be new to dual credit this semester or are interested in dual credit:
It is crucial that you follow the deadlines indicated in the attached document. Before being able to register for any class, students must have applied and received an SWTJC ID number, must have completed the online orientation, and must have completed the appropriate paperwork (TBD).
In the attachments, I have included Step-by-step instructions on how to submit a college application to SWTJC. I will also include the link to the mandatory online orientation below. Again, refer to the Fall 2020 deadlines for due dates on these items.
Online Orientation can be accessed by going to www.swtjc.edu, then clicking on "Future Students". Once you're on the future student page scroll down to the middle of the page and click on New Student Orientation.
The basics are as follows:
- New students will watch a 30 minute video.
- Take a Quiz on information shared from the video.
- Students must obtain a score of at least 80 on the quiz to be considered complete.
- Orientation completions will be downloaded on Mondays and Thursdays at 5:00 pm.
